Terms of Service

These Terms of Service ("Terms") govern your use of the SXI - CapexLog capital expenditure planning and reporting platform ("the Platform"). By accessing or using the Platform, you agree to be bound by these Terms. If you do not agree, you must not use the Platform.

1. Purpose and Scope of the Application

The Platform is an internal business application designed exclusively for authorised employees and contractors of the SXI Group for the following purposes:

  • Capital expenditure idea submission, evaluation, and budgeting
  • CER (Capital Expenditure Request) and LER (Lease Expenditure Request) submission and approval workflows
  • Financial forecasting, actuals reporting, and variance analysis
  • Post-project execution reviews and audit compliance
  • FX rate management and entity hierarchy administration

The Platform is not intended for personal use, public access, or any purpose outside the scope of corporate capital planning and financial reporting.

2. User Responsibilities and Acceptable Use

As a user of the Platform, you agree to:

  • Use the Platform solely for its intended business purpose
  • Keep your login credentials confidential and not share them with others
  • Report any suspected security incidents or unauthorised access immediately
  • Not attempt to circumvent access controls, rate limits, or role-based permissions
  • Not upload malicious content, scripts, or any material that could compromise Platform security
  • Comply with all applicable corporate policies, financial regulations, and data protection laws
  • Log out of the Platform when leaving your workstation unattended

3. Access and Authentication Rules

  • Access is granted exclusively through the formal user access request process and requires management approval.
  • Users are assigned roles (Viewer, Submitter, Approver, Controller, VP FP&A, Admin) based on their job function. Each role has specific permissions that cannot be self-modified.
  • Authentication is enforced with email and password credentials. Multi-factor authentication (MFA) may be required for elevated roles.
  • Sessions expire automatically after 30 minutes of inactivity (ASVS 3.3.2).
  • Accounts are temporarily locked after 5 consecutive failed login attempts (ASVS 2.2.1), with progressive lockout periods.
  • Access is revoked immediately upon role change, termination, or at the discretion of system administrators.

4. Data Accuracy Responsibilities

  • You are responsible for the accuracy, completeness, and truthfulness of all data you submit through the Platform.
  • Financial figures (budgets, actuals, forecasts, CER amounts) must reflect genuine business data and be supported by appropriate documentation.
  • Approvers are responsible for verifying the accuracy of data before granting approval.
  • Any errors discovered after submission must be reported and corrected promptly through the appropriate channels.
  • The Platform maintains audit trails of all data modifications. Deliberate falsification of data is a violation of these Terms and corporate policy.

5. Consequences of Misuse

Violation of these Terms may result in:

  • Immediate suspension or permanent revocation of Platform access
  • Disciplinary action in accordance with corporate HR policies
  • Reporting to relevant authorities if the misuse involves fraud, data breach, or violation of applicable laws
  • Civil or criminal liability where applicable

The SXI Group reserves the right to investigate any suspected misuse and take appropriate action without prior notice.

6. Limitation of Liability

  • The Platform is provided "as is" for internal business use. While we strive for continuous availability and data integrity, we do not guarantee uninterrupted access.
  • The SXI Group shall not be liable for any indirect, incidental, or consequential damages arising from Platform use, including but not limited to data loss, business interruption, or incorrect financial calculations.
  • Users are responsible for independently verifying critical financial decisions. The Platform is a decision-support tool and does not constitute financial advice.
  • Scheduled maintenance windows may temporarily affect Platform availability. Users will be notified in advance where possible.

7. Changes to Terms

  • The SXI Group reserves the right to modify these Terms at any time. Changes will be communicated through the Platform and/or corporate communication channels.
  • Continued use of the Platform after changes are published constitutes acceptance of the updated Terms.
  • Material changes that affect user rights or data handling will be highlighted with a minimum 14-day notice period.
  • The "Last Updated" date at the top of this page reflects the most recent revision.
